Program Coordinator
Overview:
The Program Coordinator supports the daily operations and delivery of the Prevention Care Program, ensuring consistent, high-quality services for children and families served by the Crisis Nursery. This position plays a key role in coordinating program activities, supervising frontline staff, and assisting with compliance, communication, and community engagement efforts.
The Program Coordinator represents the Nursery in the community through speaking engagements, special events, and presentations, helping strengthen public awareness, partnerships, and community support for the organization’s mission. Reporting directly to the Executive Director, the Program Coordinator provides day-to day supervision and guidance to Lead Children’s Specialists and Children’s Specialists, supporting staff performance, adherence to policies, and effective service delivery. This role serves as an operational leader within the program and works collaboratively with the Executive Director to ensure program goals, standards, and outcomes are met. This position is designed to build organizational capacity and leadership continuity, with the potential for future growth and advancement based on performance, organizational needs, and demonstrated leadership competencies.
This position requires flexibility and responsiveness, as responsibilities may extend beyond traditional business hours to meet the needs of children, families, and staff. The Program Coordinator operates in a fast-paced environment where priorities can shift quickly, requiring strong decision-making, adaptability, and organizational skills. The role involves managing a high volume of interruptions while maintaining focus on quality care, staff support, and program outcomes. While deeply rewarding, this position can at times be high-stress, making resilience, professionalism, and a commitment to the mission essential for success.
Benefits:
Salary range $55-58K, $3,000 annual Health Care Reimbursement stipend, 80 hours of Paid Time Off annually, Federal Holidays off, limited flex-time available
Essential Duties:
- Program Management & Development
- Under Direct supervision of the Executive Director:
- Assists in development and implementation of innovative initiatives for Prevention Care programming
- Assists with providing on-going training of CN-PIWI philosophy (Crisis Nursery-Parents Interacting With Infants) for program staff, volunteers and interns
- Assists with staffing plan and daily coverage needs/organization
- Understands licensing standards for the organization and responds to changes accordingly
- Supports Prevention Care Program daily as needed through answering the Crisis Line, scheduling care, caring for children and/or breaking staff
- Reviews childcare files to ensure paperwork for each child is complete
- On-call regularly for Prevention Care program and staffing related calls/needs outside of regular daytime hours (currently this is every 3 weeks)
- Under Direct supervision of the Executive Director:
- Prevention Care Program Staff Management
- In partnership with the Executive Director:
- Manages daily staffing and coverage for Prevention Care and Volunteer programs while remaining within budget
- Trains and develops childcare program staff and interns
- Manages staff paperwork upon initial hire and throughout employment
- Communicates through weekly coordination meetings
- Provides guidance support and training to all staff to ensure alignment of staff responsibilities with organization mission and vision
- Grow staff training resources and protocol
- Participates in community outreach fairs and maintains relationships with the community
- Tracks and reports all Prevention Care program statistics
- In partnership with the Executive Director:
- Prevention Care Volunteers
- Oversees recruitment, training and management of all volunteers Ensures all volunteer paperwork is up to date
- Coordinates volunteers for special projects as needed
- Photographs and Publications
- Ensures all photos have corresponding consents on file
- Maintains the availability of a wide range of photos for publication needs
- House Maintenance
- Oversees organization of Nursery including overseeing maintenance and house projects
- Oversees completion of fire drills and tornado drills on all shifts
- Outreach and Collaboration
- Represents Crisis Nursery at speaking engagements, meeting and collaborates with other community agencies and organizations
- Contributes to publications through program articles and testimonials
Position Qualifications:
- Education and Training:
- Master’s degree in Social Work, Human Services Field, Child Development, Early Childhood Education from an accredited school or equivalent
- Bachelor’s Degree in Social Work, Human Services Field, Child Development, Early Childhood Education from an accredited school or equivalent
- Experience:
- Master’s level – Three to five years work experience with children, at least two of which are in institutional or other residential group care programs or equivalent preferred
- Bachelor’s level – At least 5 years work with children, at least 3 of which were institutional or other residential group care programs preferred
- Knowledge:
- Advanced level of knowledge of early childhood development principles and practices
- Advanced knowledge of database management
- Advanced level of knowledge of MS Word, Excel, Outlook and PowerPoint
- Intermediate level of knowledge of early childhood laws, regulations, and licensing
- Basic knowledge of principles of continuous quality improvement
- Skills:
- Excellent leadership and interpersonal communication skill
- Excellent skills in identifying and managing measurable goals and objectives
- Excellent skills in verbal and written communication, problem solving, and multi-tasking
- Excellent skills in cultural and linguistic sensitivity
