Effingham County Chamber | Job Description

Position: Operations Assistant

Reports to: President & CEO

FLSA Status: Part-Time, Non-Exempt

Nature of Position:

  • Coordinates the day-to-day operations of the Chamber with a focus on efficiency and time management
  • Responsible for developing and streamlining administrative procedures and systems, maintaining financial records, planning and preparation of Chamber meetings, events and programs and providing assistance on special projects as assigned.
  • Answers routine correspondence and handles highly confidential information.
  • Individual must be self-motivated and results-oriented with a positive outlook and a clear focus on high quality customer support; possess excellent time management skills; credible, and comfortable dealing with a broad spectrum of business industries and people.

Essential Duties and Responsibilities:

  1. Role is based in-office and supports daily member interactions
  2. Provides administrative support and front desk duties including answering multi-line phone system, greeting guests, and ensuring effective communication between Chamber Staff, volunteer committees and the public.
  3. Serves as the liaison for building maintenance, maintaining, and supervising vendors and others concerning office equipment & supplies, landscaping maintenance, janitorial service, and building maintenance & security.
  4. Orders office supplies.
  5. Maintains inventory of printed supplies for Chamber office (i.e., letterhead, envelopes).
  6. Operates mail machines including the postage meter, photocopying machine, and mail folding and inserting machine. Processes and weighs outgoing mail. Replenishes postage on the postage meter as needed.
  7. Responsible for Chamber’s return mail, address corrections generated through the Chamber’s database.
  8. Runs office errands between the Chamber and local businesses, traveling by foot and/or automobile.
  9. Assists the Membership Director with routine database maintenance and monthly database reports.
  10. Assists the Membership Director with the monthly membership renewal process including billing membership records, printing, and verifying invoices.
  11. As assigned, may attend, and perform pre-determined responsibilities at Chamber meetings and events.
  12. Accounts receivable and accounts payable responsibilities for timely billing and collections.
  13. Gains familiarity with the Chamber’s member management software to maintain member records and generate reporting as requested.
  14. Performs other duties as assigned by the President & CEO.

Qualifications & Physical Requirements:

  • High school diploma required; associates or bachelor’s degree preferred.
  • Customer service experience in professional or retail environment.
  • Proficiency in Microsoft Office Suite
  • Advanced computer skills
  • QuickBooks experience preferred
  • Excellent written and verbal communication skills
  • Comfort with fast-paced environment
  • Continuous sitting and standing.
  • Frequent bending, pushing, carrying and occasional walking.
  • Possess a valid driver’s license.
  • Must be able to lift boxes up to forty (40) pounds.
  • Thrives in a dynamic, fast-moving environment with frequent interaction

This is a part-time position that requires attendance at events that occur before and/or after the normal work day. The successful candidate must have a schedule that is flexible enough to allow for these events.

Further, particularly during busy times, it may require extra hours and sometimes evenings or weekends to ensure successful events and projects.

Hours:
This role is part-time with a typical schedule of 8 a.m. – 2 p.m., with occasional evening events that are planned in advance. Occasional special projects may require work beyond 30 hours per week.

This is an hourly position with benefits as outlined in the Effingham County Chamber handbook.
