Director of First Impressions/Administrative Assistant
Front Office & Guest Experience
• Greet and assist all visitors, clients, and employees with a friendly and professional demeanor.
• Manage the front desk area to ensure a clean, organized, and welcoming environment.
• Answer and route phone calls, emails, and inquiries promptly and effectively.
• Oversee meeting room scheduling, set-up, and preparation, ensuring positive client/guest experiences.
• Manage incoming and outgoing mail, packages, and deliveries.
• Utilize QuickBooks for basic bookkeeping tasks such as invoicing and expense tracking.
• Coordinate projects across departments by tracking deadlines, preparing reports, and facilitating communication among team members.
• Provide exceptional customer service by addressing inquiries promptly via phone or email while maintaining professionalism at all times.
Administrative Support
• Provide general administrative assistance to leadership and team members as needed.
• Prepare, edit, and organize documents, reports, and presentations.
• Maintain office supplies, equipment, and vendor relationships to support office operations.
• Assist with scheduling appointments, coordinating calendars, and arranging meetings or travel.
• Support internal communications and help prepare company announcements or materials.
• Perform data entry, filing, and record-keeping with accuracy and confidentiality.
• Assist with planning and executing company events, trainings, and meetings.
Operational & Process Improvement
• Identify opportunities to enhance front-office procedures and overall office efficiency.
• Collaborate across teams to ensure smooth daily operations and consistent brand representation.
• Uphold and promote company values, ensuring a positive first and lasting impression.
Qualifications
• Previous experience in administrative, front-office, customer service, or receptionist roles.
• Excellent verbal and written communication skills.
• Strong organizational skills with the ability to multitask and prioritize effectively.
• High level of professionalism, reliability, and attention to detail.
• Proficiency with Microsoft Office; comfort with office equipment and phone systems.
• Ability to handle confidential information with discretion.
• Positive, polished, and engaging demeanor.
Preferred Attributes
• Experience supporting executives or multiple departments.
• Familiarity with scheduling tools, CRM systems, or project management software.
• A proactive, solutions-oriented mindset and desire to enhance the employee and client experience.
